Essentially, you schedule your tasks and to-dos for the day (or week), and stick to that schedule. During these time blocks, you focus on only one project or task at a time.<\/p>\n<p>The key word here is <em>focus.<\/em> This doesn\u2019t work if you allow any interruptions or distractions. And this is something anyone can do\u200a\u2014\u200ayes, even if you work in a super busy open office, or you\u2019re expected to answer whenever anyone messages you.<\/p>\n<hr \/>\n<h2 style=\"text-align: center;\"><strong>Why We Should Time-Block<\/strong><\/h2>\n<p><a href=\"http:\/\/calnewport.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Cal Newport<\/a>, an Associate Professor of computer science at Georgetown University and author of the wildly popular \u201cDeep Work\u201d, argues that time away from distraction is necessary to enter a state of deep work. A state in which you can really focus on a cognitively demanding task (like writing, coding, problem-solving..).<\/p>\n<p>Many great thinkers shut themselves off from society when they needed to focus or meet a tough deadline. J.K. Rowling would rent a hotel room, Carl Jung built a <a href=\"https:\/\/en.wikipedia.org\/wiki\/Bollingen_Tower\" target=\"_blank\" rel=\"noopener noreferrer\">tower in the woods<\/a> to get away. Cutting out worldly distractions is nothing new. The main issue is that many of us seem to have lost the ability to cut out distractions and simply focus.<\/p>\n<p>If you, like many of us, do creative or knowledge work that requires you to produce high-value work regularly, then you likely already know how precious a few interruption-free hours can be. But humans are social creatures. We like to respond to messages and participate in the conversations around us. Time-blocking gives you \u201cpermission\u201d to ignore those conversations and messages for a period of time in order to get down to work.<\/p>\n<hr \/>\n<h2 style=\"text-align: center;\"><strong>Quality = Time x\u00a0Focus<\/strong><\/h2>\n<p>As Cal stated in an interview with <a href=\"https:\/\/www.fastcompany.com\/3057192\/these-are-the-long-term-effects-of-multitasking\" target=\"_blank\" rel=\"noopener noreferrer\">FastCompany<\/a>, \u201chigh-quality work produced is a function of two things\u200a\u2014\u200athe amount of time you spend on the work and the intensity of your focus during this time. If you can increase your focus, you\u2019ll get more done in less time.\u201d<\/p>\n<p>Increased focus necessarily precludes constant interruption and distraction. According to <a href=\"https:\/\/www.ics.uci.edu\/~gmark\/chi08-mark.pdf\" target=\"_blank\" rel=\"noopener noreferrer\">Gloria Mark<\/a>, a researcher in the field of interruption science, \u201cthe average knowledge worker switches tasks every three minutes, and, once distracted, a worker can take nearly a half-hour to resume the original task\u201d.<\/p>\n<figure><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-9620 size-full\" title=\"neon sign on a building writing time is precious\" src=\"https:\/\/zenkit.com\/wp-content\/uploads\/2018\/02\/time-is-precious-sign.jpg\" alt=\"time is precious neon sign on a building\" width=\"1000\" height=\"666\" srcset=\"https:\/\/zenkit.com\/wp-content\/uploads\/2018\/02\/time-is-precious-sign.jpg 1000w, https:\/\/zenkit.com\/wp-content\/uploads\/2018\/02\/time-is-precious-sign-300x200.jpg 300w, https:\/\/zenkit.com\/wp-content\/uploads\/2018\/02\/time-is-precious-sign-768x511.jpg 768w\" sizes=\"auto, (max-width: 1000px) 100vw, 1000px\" \/><\/figure>\n<p>That\u2019s 30 minutes wasted. Because you checked your email or responded to a message. <em>30 whole minutes!<\/em> Now think for a minute about how often you\u2019re interrupted by the ping of an incoming message, or a coworker coming over to chat, or that desire to just quickly check your email. Think about how much more you could achieve if you had spent those 30 minutes focusing on your task. Exactly.<\/p>\n<p>(No wonder the average person only actually works for <a href=\"http:\/\/www.businessinsider.de\/8-hour-workday-may-be-5-hours-too-long-research-suggests-2017-9\" target=\"_blank\" rel=\"noopener noreferrer\">3 out of the 8 hours<\/a> of their work day.)<\/p>\n<p>Now, while we can\u2019t all afford to drop off the grid completely every time we want to get some work done, there are lots of things you can do to carve out time to focus. Here\u2019s where time blocking comes in.<\/p>\n<blockquote><p><em>\u201cI take time blocking seriously, dedicating ten to twenty minutes every evening to building my schedule for the next day\u2026 My goal is to make sure progress is being made on the right things at the right pace for the relevant deadlines.\u201d\u200a\u2014\u200aCal\u00a0Newport<\/em><\/p><\/blockquote>\n<hr \/>\n<h2 style=\"text-align: center;\"><strong>How to Time-Block<\/strong><\/h2>\n<figure><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-9634 size-full\" title=\"creative weekly calendar on desk with time blocks and camera\" src=\"https:\/\/zenkit.com\/wp-content\/uploads\/2018\/02\/time-blocking.jpg\" alt=\"weekly calendar with time blocks\" width=\"1000\" height=\"667\" srcset=\"https:\/\/zenkit.com\/wp-content\/uploads\/2018\/02\/time-blocking.jpg 1000w, https:\/\/zenkit.com\/wp-content\/uploads\/2018\/02\/time-blocking-300x200.jpg 300w, https:\/\/zenkit.com\/wp-content\/uploads\/2018\/02\/time-blocking-768x512.jpg 768w\" sizes=\"auto, (max-width: 1000px) 100vw, 1000px\" \/><\/figure>\n<p>It\u2019s really pretty simple:<\/p>\n<ul>\n<li>Start with a page out of a notebook, a calendar, app, or tool like <a href=\"https:\/\/zenkit.com\" target=\"_blank\" rel=\"noopener noreferrer\">Zenkit<\/a> (I use Zenkit synced with Google Calendar).<\/li>\n<li>Block off chunks of time for certain activities. Make sure to leave a little buffer time, just in case.<\/li>\n<li>Voila! You\u2019re done!<\/li>\n<\/ul>\n<hr \/>\n<h2 style=\"text-align: center;\"><strong>Tips to Help You Make the Most of Your Time Blocks<\/strong><\/h2>\n<p>You need to be strict with yourself and with others. No distractions mean no distractions. Nope, not even checking your phone. Put it on silent and shut it away in a drawer if you need to! (Remember that 30 minutes from earlier?)<\/p>\n<p>You can schedule blocks to be as long or as short as you like, and you can be as specific or as non-specific as you like. If you want, you can just set aside 3 hours for \u2018deep work\u2019, then define what tasks you\u2019ll take on in block closer to the time. Or just leave it open to work on whatever your attention is drawn to at the time. Just remember to always plan in a buffer\u200a\u2014\u200athings usually take longer than you expect!<\/p>\n<p>You can combine time blocking with a few of the productivity tips we\u2019ve covered before. You could use <a href=\"https:\/\/zenkit.com\/blog\/how-to-set-up-gtd-in-zenkit\/\" target=\"_blank\" rel=\"noopener noreferrer\">GTD<\/a> to figure out what it is you <em>really <\/em>need to do during your blocks. If it works for you, you could use the Pomodoro technique to chunk your time inside your blocks.<\/p>\n\n\n\n\n    \n<p>Lastly, don\u2019t overschedule yourself! You\u2019re human. Don\u2019t block in 12-hour days\u200a\u2014\u200arest and relaxation are just as important as working hard. The old adage \u201cwork hard, play hard\u201d still applies. Make sure to schedule breaks for yourself, and be flexible enough to realize when you\u2019re not feeling up to a certain task.<\/p>\n<figure><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-9648 size-full\" title=\"two men facing away from eachother with laptops\" src=\"https:\/\/zenkit.com\/wp-content\/uploads\/2018\/02\/working-on-computers.jpg\" alt=\"two men working back to back\" width=\"1000\" height=\"667\" srcset=\"https:\/\/zenkit.com\/wp-content\/uploads\/2018\/02\/working-on-computers.jpg 1000w, https:\/\/zenkit.com\/wp-content\/uploads\/2018\/02\/working-on-computers-300x200.jpg 300w, https:\/\/zenkit.com\/wp-content\/uploads\/2018\/02\/working-on-computers-768x512.jpg 768w\" sizes=\"auto, (max-width: 1000px) 100vw, 1000px\" \/><\/figure>\n<p>Despite understanding the benefits of getting a few solid hours of time to focus, it\u2019s easy to come up with reasons why you just \u2018can\u2019t\u2019.<\/p>\n<h3><strong>But I work in an open office and people stop by all the time!<\/strong><\/h3>\n<p>Invest in some good headphones. Book a conference room. Find a quiet corner of the cafeteria. Set up a little sign on your desk telling people that you\u2019re focusing and would appreciate their understanding. Do whatever it takes!<\/p>\n<p>If you know that you\u2019re likely to be distracted at certain times more than others, then you could even schedule that time to <a href=\"https:\/\/productivityreport.org\/2016\/12\/05\/productivity-tip-save-easy-tasks-for-when-youre-interrupted-most\/\" target=\"_blank\" rel=\"noopener noreferrer\">tackle easier tasks<\/a> as productivity writer, Jill Duffy points out. Using an \u201cif I\u2019m not dealing with an interruption, then I should\u2026\u201d format to schedule these blocks would work well.<\/p>\n<h3><strong>What if answering messages and calls is part of your job?<\/strong><\/h3>\n<p>Reactive work, like answering emails and dealing with Slack messages can be scheduled just like everything else. Set up a block of time where you answer emails and other messages. Communicate this time block to your colleagues, and add the info to your email signature or your voicemail. Eventually, they\u2019ll get used to it and appreciate knowing when they can expect an answer.<\/p>\n<p>For example, in my position here at <a href=\"https:\/\/zenkit.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Zenkit<\/a>, I\u2019m responsible for communicating with our users and providing support. I usually block off an hour or two each morning to deal with this, and then the rest of the day is blocked to focus on other areas of my job (like writing these blogs!)<\/p>\n<h3><strong>What if you\u2019re expected to be available at all times?<\/strong><\/h3>\n<p>The pressure to answer immediately these days is real. You may think that being able to block serious chunks of time is a luxury you can\u2019t afford. You\u2019re expected to answer on Slack, keep an eye on emails, or pick up the phone when it rings. So what can you do?<\/p>\n<p>The best thing to do in a situation like this is to speak to your manager. Explain what you\u2019re trying to do and why. Perhaps even frame it in terms of how your increased productivity is ultimately beneficial for the company. Request being able to trial it for a few weeks and check in with your managers every so often to report on progress. Maybe it\u2019ll inspire them to change their \u2018always online\u2019 policy!<\/p>\n<hr \/>\n<h2 style=\"text-align: center;\"><strong>Productivity for Happiness<\/strong><\/h2>\n<p>During research for his book, Cal Newport found that a side effect of setting out distinct time periods to focus on was that people were actually <em>happier<\/em>. Not only were they more productive, but they felt better about the work they were doing, and were more satisfied with their jobs overall.<\/p>\n<p>I think we can all relate to that. We all know how overwhelmed and scattered you feel on days where things are thrown at you from a million different directions and you\u2019re just reacting instead of actively focusing on your tasks. You can focus. You may even enter a <a href=\"https:\/\/en.wikipedia.org\/wiki\/Flow_%28psychology%29\" target=\"_blank\" rel=\"noopener noreferrer\">\u2018flow\u2019 state<\/a> (we\u2019ll come back to this in another blog!). You can take advantage of those pure hours to finish up your projects and leave your work day with a sense of closure.<\/p>\n<p>And that means you can really take advantage of your free time\u200a\u2014\u200ayour life outside of work. <em>Isn\u2019t that ultimately what this is all for?<\/em> You should work to live, not live to work.
