However, there\u2019s no point blocking out three hours of the day to work on something if you\u2019re unable to use it well! However, once you actually start, it\u2019s rarely as hard as you\u2019d feared.<\/p>\n<p>This is because once you start, and if you\u2019ve set up the right environment, you can enter a \u2018flow\u2019 state where great work just seems to flow out of you. Time blocking can be an incredible way to facilitate flow and approach these big, scary tasks.<\/p>\n<p>Especially in creative or knowledge work, it can take time for you to get into the right mindset. One hour is rarely enough to make a big difference to your work. Generally, two to three hours is the sweet spot since it gives you time to get into a groove, without exhausting or boring you.<\/p>\n<p>So, the next time you feel overwhelmed by a task, try scheduling a solid 3-hour block of time to get it done. You may find yourself really making great progress toward finishing it, thus reducing stress, clearing out your head, and generally making you feel pretty accomplished and ready to face whatever comes next.<\/p>\n<hr \/>\n<h2 style=\"text-align: center;\"><strong>Finding Your Focus<\/strong><\/h2>\n<p>That three hours of blocked-out time will do you no good unless you\u2019re able to focus. And by \u2018focus\u2019 I mean not only being able to focus on your work, but also focusing on what needs to be done, i.e. prioritizing.<\/p>\n<p><strong>Decide what\u2019s important<\/strong> (<em>where<\/em> you should focus), <strong>then do the important things<\/strong> (<em>direct<\/em> your focus).<\/p>\n<p>Prioritizing can be done in many ways:<\/p>\n<ul>\n<li>Using an <a href=\"https:\/\/zenkit.com\/blog\/eisenhower-matrix-increasing-efficiency-via-task-prioritization\" target=\"_blank\" rel=\"noopener noreferrer\">Eisenhower matrix<\/a> to identify urgent vs. important tasks<\/li>\n<li>Use a GTD action list (check out the basics <a href=\"https:\/\/zenkit.com\/blog\/a-beginners-guide-to-getting-things-done\/\" target=\"_blank\" rel=\"noopener noreferrer\">here<\/a>)<\/li>\n<li><a href=\"https:\/\/zenkit.com\/blog\/how-to-eat-that-frog\/\" target=\"_blank\" rel=\"noopener noreferrer\">Eating the frog<\/a> (doing the hardest thing first)<\/li>\n<li>Assessing the value of tasks and their impact on your personal\/business goals<\/li>\n<li>Ordering by estimated effort<\/li>\n<\/ul>\n<p>Whatever method you choose, your ability to recognize what\u2019s irrelevant to your main goals and ignore it (to say \u2018no\u2019), is just as important as your ability to find and focus on priorities. As superhumanly productive <a href=\"https:\/\/tim.blog\" target=\"_blank\" rel=\"noopener noreferrer\">Tim Ferriss<\/a> says,<\/p>\n<blockquote><p><em>\u201cBeing perpetually busy is a kind of laziness.\u201d<\/em><\/p><\/blockquote>\n<figure><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-10206 size-full\" title=\"man being busy and picking up lots of telephones \" src=\"https:\/\/zenkit.com\/wp-content\/uploads\/2018\/03\/multiple-phonecalls.gif\" alt=\"man being busy and picking up lots of phones\" width=\"280\" height=\"210\" \/><\/figure>\n<hr \/>\n<h2 style=\"text-align: center;\"><strong>Putting It Into Practice<\/strong><\/h2>\n<p>These lofty goals of carving out your blocks of time and getting down to an incredibly productive, well-prioritized, and focused few hours of deep work may seem unattainable, but there are several tricks you can use to make it happen.<\/p>\n<p>The following tips will help you re-train your attention and set up your environment to support your best work.<\/p>\n<hr \/>\n<h2 style=\"text-align: center;\"><strong>Fight Back<\/strong><\/h2>\n<p>The first, most obvious step is to avoid distraction. Distraction and loss of focus are nothing new. The Stoic philosopher, Seneca, wrote in his \u201c<a href=\"https:\/\/en.wikipedia.org\/wiki\/Epistulae_Morales_ad_Lucilium\" target=\"_blank\" rel=\"noopener noreferrer\">Letters From A Stoic<\/a>\u201d (penned almost 2000 years ago),<\/p>\n<blockquote><p><em>\u201cThere is never a time when new distraction will not show\u00a0up.\u201d<\/em><\/p><\/blockquote>\n<p>Distractions will always be there, so the best thing you can do is to <em>manage your attention<\/em>, rather than your time. Blocking a few hours out of your calendar is the easy bit! Next, you need to set yourself up for success by doing everything you can to simply stop distractions from happening in the first place.<\/p>\n<p>Alerts and notifications are <em>designed<\/em> to grab and monopolize our attention. We\u2019re physiologically and psychologically hardwired to respond to alerts, even when those alerts are rarely actually urgent or important (new like on Instagram, anybody?). We even get addicted to them, thanks to the dopamine release that comes from responding to the signal. Fight back! Turn off your phone. Disable notifications on your laptop. Auto-filter incoming emails. Plug into some awesome music with noise-cancelling headphones. If you have to use your phone\/laptop, use technology to help\u200a\u2014\u200athere are literally hundreds of apps and extensions you can use to block websites or provide a totally distraction-free work zone. <a href=\"https:\/\/getcoldturkey.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Cold Turkey<\/a>, <a href=\"https:\/\/freedom.to\/\" target=\"_blank\" rel=\"noopener noreferrer\">Freedom<\/a>, and <a href=\"https:\/\/focusme.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">FocusMe<\/a> are great options.<\/figure>\n<p>By succumbing to messages you\u2019re really holding yourself captive to others\u2019 motivations and ideas, rather than focusing on your own priorities.<\/p>\n<hr \/>\n<h2 style=\"text-align: center;\"><strong>Train Yourself to Focus<\/strong><\/h2>\n<figure class=\"wp-caption\">\n<p><figure id=\"attachment_10234\" aria-describedby=\"caption-attachment-10234\" style=\"width: 1000px\" class=\"wp-caption aligncenter\"><img loading=\"lazy\" decoding=\"async\" class=\"wp-image-10234 size-full\" title=\"focused woman working on her laptop next to an open window\" src=\"https:\/\/zenkit.com\/wp-content\/uploads\/2018\/03\/woman-writing-on-laptop.jpg\" alt=\"woman focusing on her work \" width=\"1000\" height=\"666\" srcset=\"https:\/\/zenkit.com\/wp-content\/uploads\/2018\/03\/woman-writing-on-laptop.jpg 1000w, https:\/\/zenkit.com\/wp-content\/uploads\/2018\/03\/woman-writing-on-laptop-300x200.jpg 300w, https:\/\/zenkit.com\/wp-content\/uploads\/2018\/03\/woman-writing-on-laptop-768x511.jpg 768w\" sizes=\"auto, (max-width: 1000px) 100vw, 1000px\" \/><figcaption id=\"caption-attachment-10234\" class=\"wp-caption-text\">Photo by <a href=\"https:\/\/unsplash.com\/@thoughtcatalog?utm_source=medium&amp;utm_medium=referral\" target=\"_blank\" rel=\"noopener noreferrer\">Thought Catalog<\/a> on\u00a0<a href=\"https:\/\/unsplash.com?utm_source=medium&amp;utm_medium=referral\" target=\"_blank\" rel=\"noopener noreferrer\">Unsplash<\/a><\/figcaption><\/figure><figcaption class=\"wp-caption-text\"><\/figcaption><\/figure>\n<p>Now you\u2019ve found a way to carve out a few interruption-free hours for yourself, you may not yet be able to stay in the groove the entire time. That\u2019s totally fine. The world we live in is <em>full<\/em> of things vying for attention, and all this overstimulation and \u2018multitasking\u2019 is why many of us seem to have lost the ability to focus.<\/p>\n<p>It\u2019s important to remember that focus is a skill developed over time, and like any skill, it requires lots of practice. Especially if you\u2019re new to this whole deep-focus thing, methods like the <a href=\"https:\/\/zenkit.com\/blog\/boost-your-productivity-with-pomodoneapp-and-zenkit\/\" target=\"_blank\" rel=\"noopener noreferrer\">Pomodoro Technique\u00ae<\/a> are fantastic for teaching you how to focus.<\/p>\n<p>The Pomodoro Technique\u00ae forces you to work on one thing, and one thing only, for 25 minutes at a time, with 5-minute breaks in between sessions. After four 25-minute sessions of focus, you can take a longer break of 15\u201330 mins.<\/p>\n<p>The great thing about this is that 25 minutes is totally approachable. It\u2019s much easier for you to ignore the siren calls of your phone notifications for 25 minutes than it is for three hours. The psychological barrier to starting a short block of work is much lower than it is for a longer one.<\/p>\n<p> Here\u2019s how to Pomodoro\u00ae <\/p>\n<ul>\n<li>Write a list of everything you need to do, in bite-sized, actionable tasks. (Check out my <a href=\"https:\/\/zenkit.com\/blog\/mastering-the-most-important-step-in-gtd\/\" target=\"_blank\" rel=\"noopener noreferrer\">guide to writing effective tasks<\/a> for ideas on how to do this really, really well!)<\/li>\n<\/ul>\n\n\n\n\n    \n<ul>\n<li>Set a timer for 25 minutes.<\/li>\n<li>Work on the task until the timer rings, then put a checkmark next to your task.<\/li>\n<li>Take a 5-minute break. Walk around, grab a coffee, and do some stretches. Being active helps!<\/li>\n<li>Repeat! Keep adding checkmarks to your list until you\u2019ve got 4 down, then take a longer break. 30 minutes is good.<\/li>\n<\/ul>\n<p>A general tip for your short breaks: If you can, avoid checking your email or messages or Instagram, or whatever it is. Eventually, you\u2019ll train yourself not to need that instant gratification and you\u2019ll be able to stop picking up your phone every 5 seconds.<\/p>\n<p>Once you\u2019ve learned to focus for these short bursts, you may find that you want to keep going, you\u2019ve found your flow and the constant breaks are becoming a distraction in and of themselves. If so, good for you! Every \u2018productivity guru\u2019 and lifestyle blogger recommends mindfulness as <em>the<\/em>\u00a0one thing that\u2019s totally going to change your life forever. And you\u2019re probably sick of hearing it. That being said, there\u2019s a reason it\u2019s recommended by everyone under the sun, and a reason I\u2019ve included it here. (Trust me, I used to think this was all total rubbish, too. But please stay with me!)<\/figure>\n<p>Incorporating some kind of mindfulness practise into your daily routine, whether it be meditation, journaling, or going out for a run and simply appreciating nature, helps you find focus on your own terms, away from work and the pressure of success. Making these practices a part of your routine means you\u2019re consistently reinforcing your ability to concentrate on a single task and filter out distractions (whether they\u2019re concrete or emotional).<\/p>\n<p>Things like meditation also help you to become more aware of yourself and your surroundings, which leads nicely on to the next tip\u2026<\/p>\n<hr \/>\n<h2 style=\"text-align: center;\"><strong>Be Aware<\/strong><\/h2>\n<p>Despite all our distraction-avoiding and newfound ability to focus, it\u2019s inevitable that distractions will still show up. The solution? Be aware of what\u2019s happening when you get down to work. Notice when you start to lose focus or become distracted. Acknowledge it, then redirect your focus to the task at hand.<\/p>\n<p>An <a href=\"https:\/\/hbr.org\/2012\/01\/train-your-brain-to-focus\" target=\"_blank\" rel=\"noopener noreferrer\">HBR<\/a> article by Paul Hammerness and Margaret Moore outlines an easy \u2018ABC\u2019 method to help you hit the brakes on distraction: Become <strong>A<\/strong>ware of your options: Give in to the distraction, or keep working. <strong>B<\/strong>reathe deeply, and consider the options. Then <strong>C<\/strong>hoose whether to get distracted or move forward with your task. Making this choice can help reinforce the priority you set for yourself.<\/p>\n<p>Another way to approach this comes from the trusty old Pomodoro Technique\u00ae. One of the rules of the technique is that if something comes up\u200a\u2014\u200ayou remember something you need to get done, or someone pops in and asks you to do something\u200a\u2014\u200awrite it down as a task on a bit of paper nearby, then get right back to work. Writing the task down means you get it out of your head right away, and it\u2019s not niggling away at the back of your mind while you\u2019re trying to focus.<\/p>\n<hr \/>\n<h2 style=\"text-align: center;\"><strong>Final Thoughts<\/strong><\/h2>\n<p>Phew!
